Receipt Scanning

Receipt scanning is a loyalty mechanism in which members photograph or upload purchase receipts to prove qualifying spend and earn points or rewards. The operator reads the receipt data to validate transactions, allocate rewards, and build a purchase-level record that a card link or loyalty identifier cannot capture.

Receipt scanning is not a member benefit. It is an operator tool for purchase validation and data collection that replaces a trusted card link with unpaid member labour. The programme gains item-level basket data and a fraud control point. The member gains another chore.

The mechanism changes how points accrue. In a card-linked programme a transaction accrues automatically at the till. Receipt scanning makes accrual conditional on the member uploading a valid receipt before a deadline, often 7 days. Unsubmitted receipts never accrue, which reduces the programme liability without any member-facing decision.

Some programmes use receipt scanning to drive activity-based qualification. A member must hit a monthly scan quota to keep a tier. That turns the scan itself into the qualifying event, not the spend. It rewards compliant low spenders over busy high spenders, and it quietly excludes members who cannot or will not do the work.

The arithmetic exposes the actual cost transfer. A 50 dollar receipt scanned within 3 days at 1 point per dollar with a 20 percent bonus earns 60 points. The same receipt scanned after 8 days earns 50 points. The 10 point gap is the penalty for late compliance, and it is entirely controlled by the operator.

Operators then feed the scanned data into an actuarial model for liability and breakage. The model is only as good as scan coverage. If only 30 percent of eligible purchases are ever scanned, the model cannot tell a missing receipt from a missing purchase. It inflates expected breakage and understates the true cost of redemptions.

Receipt scanning is a transfer of operational risk from programme to member. It should be priced as one. A programme that celebrates easy receipt scanning is usually celebrating its own lower accrual and better data, not a better offer.
